Las Vegas Fashion Council

Privacy Policy

How the Las Vegas Fashion Council collects, uses and protects information on this website.

Effective November 4, 2026

About This Policy

This policy explains how the Las Vegas Fashion Council ("LVFC", "the Council", "we"), a Nevada 501(c)(3) nonprofit organization, handles information collected through its website, lasvegasfashioncouncil.com.

The Council works with a technology provider that hosts this website and the Council's membership system. The provider handles the information described here only on the Council's behalf and under its instructions, and not for its own purposes.

This policy covers this website only. Other websites and services linked from it have their own policies, described below.

Information We Collect

You can browse this website without telling us who you are. The website does not keep information you type into it, with one exception: the membership application, which collects only the information needed to review and administer a membership. We never receive or keep card numbers or bank information.

Depending on how you use the website, the categories of information collected are:

  • Identifiers and contact details, such as your name, email address, phone number and mailing address, when you apply for membership or send us a message.
  • Professional and profile details you choose to provide with a membership application, such as a title, company, website, social media handles and a short bio.
  • Photographs submitted with a membership application: a headshot and, for Student membership, a photo of a student ID.
  • Payment confirmation details provided by PayPal, as described in the Membership Applications and Payments section.
  • The content of messages you send through the contact form.
  • Technical and usage information, such as your IP address, browser and device type, the pages you view and your approximate location, collected through server logs and Google Analytics.

Membership Applications and Payments

The membership application asks for your first and last name, email address, phone number, mailing address, Instagram handle and a short bio, and lets you add a title, company, website and your Facebook, LinkedIn and X profiles. It also asks for a headshot. A Student membership application also asks for a photo of a current student ID. A Corporate membership application also asks for the organization's name and, if you add them, up to three team members' first and last names and, optionally, their email addresses. Please add another person's details only if they have agreed to it.

When you submit an application, we also keep a record that you agreed to this policy and which version of it you saw.

Your application is sent to the Council's membership system, which our technology provider hosts for the Council on servers in the United States. Your application details and headshot are stored in that system. Student ID photos are stored in the Council's own Google Drive. The Council's team can download a list of members from the membership system. The Council reviews every application, and approval is not automatic.

Payment is made through PayPal. Card and bank details are entered with PayPal, never on this website, and the Council does not receive or keep them. From PayPal, the Council receives a confirmation of the payment, including the amount, the date, a transaction reference and the payer's name and email address as PayPal provides them. PayPal's own privacy policy governs the information PayPal collects.

Membership emails, such as confirmations, certificates and links to send application photos, are sent from info@lasvegasfashioncouncil.com through Resend, an email delivery provider, which keeps a copy of each email for a limited time.

The Contact Form and the Newsletter

The contact form asks for your name, your email address, an optional subject and your message. The website does not store your message. It is delivered to the Council as an email, sent through Resend.

Before it is delivered, your name, email address, subject and message are screened by an automated relevance filter, operated by our technology provider, which may use a third-party artificial intelligence service, to separate spam from real inquiries. A message the filter sets aside is still delivered, to a separate inbox, and is never discarded.

To prevent abuse, the website keeps a short-lived count of messages sent from each IP address in its working memory. That count is not stored.

The newsletter signup in the footer is provided by Constant Contact, through its own form or hosted page. Information you give when you subscribe is collected by Constant Contact for the Council, and Constant Contact's privacy policy governs it. You can unsubscribe at any time from the link in any newsletter.

Analytics, Cookies and Server Logs

The website uses Google Analytics to understand how visitors use it. Google Analytics uses cookies and collects usage information such as the pages you view, your device and browser, and your approximate location. Google Analytics is not loaded on the membership application form or on the page used to send application photos.

During a membership payment, the website sets one cookie of its own, needed to complete the payment from the same browser that started it. It contains no personal information and expires after one day.

The server that hosts the website records standard technical logs, such as IP addresses, browser information and the pages requested, for security and to keep the website working. For messages sent through the contact form, these logs may also record the sender's email address and the fact that a message was sent.

Google, and other third parties described in the next section, may collect information about your online activities over time and across different websites when you use this website. Some browsers offer a "Do Not Track" setting. This website does not currently respond to Do Not Track signals.

You can block or delete cookies in your browser settings, and you can prevent Google Analytics from collecting your information with the Google Analytics Opt-out Browser Add-on, available from Google. Some parts of the website, such as the membership payment, may not work if cookies are blocked.

How We Use Information

We use the information described in this policy to:

  • review membership applications, administer memberships, issue membership certificates and handle payments and refunds;
  • respond to messages and inquiries;
  • send the emails you have asked for or that relate to your membership;
  • understand how the website is used, so that we can improve it;
  • keep the website and its forms secure and prevent spam and abuse; and
  • meet the Council's legal, accounting and record-keeping obligations.

How We Share Information

We do not sell or rent personal information, and we do not share it with others for their own marketing. We share it only in the following cases:

  • with our technology provider, which hosts the website and the membership system;
  • with our payment processor, PayPal;
  • with our email delivery provider, Resend;
  • with Google, for storing student ID photos in the Council's Google Drive, for storing encrypted backups of the membership system, and for website analytics;
  • with the automated screening service used by the contact form's relevance filter;
  • with Constant Contact, for the newsletter; and
  • when the law requires it, or when it is needed to protect the rights or safety of the Council or others.

How Long We Keep Information

Membership information is kept for as long as it is needed to administer the membership and to meet the Council's legal and record-keeping obligations. If a membership payment is never completed, the applicant's personal information is deleted 30 days after their last activity. If an application is not approved, the applicant's personal information is deleted 30 days after that decision. Payment records are kept for as long as the Council's accounting requires. You can ask the Council to delete it at any time, as described below, subject to those obligations. The membership system is backed up regularly, and backup copies are replaced on a rolling schedule, so deleted information leaves the backups as they are replaced.

Contact form messages are kept in the Council's email as ordinary correspondence. Server logs and analytics information are kept for the periods set by the hosting server and by Google Analytics.

Security

We take reasonable measures to protect the information we hold. Information you submit through this website is transmitted over encrypted connections (HTTPS), backups of the membership system that are kept off its server are encrypted, and access to membership information is limited to the people who need it to do their work. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Children

This website is not directed to children under the age of 13, and the Council does not knowingly collect personal information from them. If you believe a child under 13 has given us personal information, please contact us and we will delete it.

A minor should apply for membership with a parent's or guardian's involvement.

Your Choices and Rights

You can ask to review the personal information the Council holds about you, to correct or update it, or to have it deleted, by emailing info@lasvegasfashioncouncil.com. To protect your information, we may ask you to confirm your request from the email address you gave us. We will respond within a reasonable time.

Nevada residents have the right to direct a website operator not to sell their covered information. The Council does not sell covered information. If you would like to submit a request anyway, email info@lasvegasfashioncouncil.com with the subject line "Nevada Opt-Out Request", and we will record and honor it.

Changes to This Policy and How to Reach Us

We may update this policy from time to time. When we do, we will post the updated policy on this page and change its effective date. If a change materially affects how we handle membership information, we will also let members know by email.

For any question about this policy, or to make any of the requests described in it, email the Las Vegas Fashion Council at info@lasvegasfashioncouncil.com.
